Privacy Policy

This policy explains the personal information I collect about you and how I store and process your data to comply with UK GDPR (General Data Protection Regulation) under the DPA (Data Protection Act) 2018.

I confirm that I am registered with the ICO (Information Commissioner’s Office).

You have a right to complain to the ICO if you think there is a problem with the way I am handling your data.

Under Data Protection law, you have the right:

to access a copy of your records and have an explanation of your personal data
to request correction or erasure
in certain circumstances to request limiting or ceasing data.

The personal information I collect about you

In order to work professionally, ethically and safely, it is necessary for me to collect the following information about you: Name, address, date of birth, gender (or preferred identity), telephone number, email address, GP contact details, medical conditions and prescribed medication relevant to counselling, outline of reasons for seeking help, counselling history and session summaries.

How I store your personal information

To store your personal information I use a GDPR-compliant encrypted cloud-based professional software system. Any paper-based information collected is scanned or copied and uploaded to this system before being securely destroyed.

This information is stored for five years before being erased, in accordance with the requirements of GDPR and my Professional Liability Insurance. In addition, any contact information, texts or emails stored on my electronic devices will be erased one month after our final session.

To ensure the security of your data, I will use only necessary and appropriate electronic devices, applications and web services, and keep systems password-protected and software up-to-date. However, I cannot be held responsible for third-party data breaches.

Furthermore, please note that using technology that connects to the internet can leave an unavoidable ‘digital footprint’. For example, some basic information about you will appear on my bank statements following session fee bank transfers.

When I will share your personal information

Everything you tell me will be confidential, with the following exceptions:

Prevention of harm. If I believe that you or someone else is at significant risk of danger.
Legal requirement. For example, serious criminal activity, or a court-issued order for disclosure.
Professional supervision. In accordance with BACP guidelines I receive regular clinical supervision, where our work together might be discussed (using only your first name).
Clinical Will. In the event of my death or incapacity, my appointed representative will have access to your basic contact information.
NHS Test & Trace. I will provide the minimum required details as appropriate.

You will be sent an electronic copy of this Privacy Policy in order for you to to consent to me storing your information in the manner set out in this policy.
